  • Overview

    The individual in this position is responsible for the administration of corporate support activities by providing daily administrative support to ACA Compliance Group (“ACA”) 

    Responsibilities

    • Provide clerical and general administrative support to ACA's management and staff
    • Create preliminary versions of policies, procedures and standards as they relate to VMOS operations
    • Correspond directly with vendors, clients and staff via email and telephone providing status updates, basic web support troubleshooting and problem resolution as required
    • Process incoming questionnaires and distribute appropriately to vendor contacts
    • Oversee creation, organization, maintenance and prioritization of VMOS correspondence including emails, files and workflow management system
    • Prepare various staff and management reports, memos and other documents
    • Coordinate travel, meetings, conferences, webcasts and other arrangements for VMOS personnel, visitors, and others as needed
    • Purchase and maintain office supplies in accordance with ACA purchasing policies and budgetary restrictions
    • Administer the scheduling of office space, including offices, workstations, and meeting rooms, which may include facilitating meal and beverage service, coordinating audio/visual equipment, and administering other meeting-related needs
    • Perform ad-hoc work/special projects as necessary to support ACA on various client and internal initiatives

    Qualifications

    • Bachelor’s Degree– preferred major or concentration business, computers, or office management preferred
    • Two years’ experience performing administrative or support duties in a general office setting
    • Ability to be consistently at work and on time, follows instructions, responds to management direction and solicit feedback to improve performance
    • Ability to exercise discretion and make independent judgments on matters of significance
    • Demonstrated professional integrity
    • Dependable, flexible, and adaptable to new ACA initiatives and changing client needs
    • Ability to work well in a fast-paced, small-team environment
    • Ability to work independently, multi-task and prioritize effectively
    • Ability to establish and maintain effective working relationships with colleagues and clients
    • Highly motivated and goal oriented; proactive in one’s own education and career progression; volunteers for and shows initiative on both internal and external projects and tasks
    • Dedicated to upholding ACA’s high quality standards and customer service focus
    • Strong organizational and problem-solving skills with attention to detail
    • Strong oral and written communication skills
    • Proficient with Microsoft Office applications, Adobe Acrobat, and the Internet
    • Willing to undertake minimal travel

    • Available for work and/or travel Monday through Friday on a general basis, including outside of normal business hours and/or weekends
